Prepare your preliminary application

FROM FIRST CONTACT TO A CLEAR AGREEMENT

We begin by understanding your legal needs.

If you are applying about a new legal matter, a short summary of the events, the names of the parties and the important dates you know are enough of a starting point for an initial assessment. You do not need to have gathered all the documents or to know the area of law.

Güneş & Güneş Law Firm assesses the subject of the request and the parties involved, and plans the necessary meeting and review. The scope of services, fees, expenses and the conditions for starting work are explained separately.

First contact, sharing documents or confirming an appointment does not by itself mean that the handling of a file has been taken on.

When do we send a first response?

We send a first response to general applications within 48 hours at the latest. This period does not mean that the legal review has been completed or that the matter has been accepted. For urgent and time-sensitive steps, contact our office directly without waiting for a reply.

BEFORE YOU APPLY

Preparing for a meeting in eight steps.

Review the headings below so that you can present your matter in an organized way. Do not postpone first contact because of missing documents; just note what is missing.

Preparation headings you have reviewed

Your selections are not sent and are not stored permanently. Checking every item does not mean that the documents are legally sufficient or that the matter has been accepted.

Put the events in date order; note the related document for each event, and anything missing, in the same file. Download the template and fill it in on your device. Files are not sent automatically; do not leave your completed copy on shared devices.

OUR FIRM’S MATTER ACCEPTANCE PROCEDURE

Six steps from application to taking on the matter.

Depending on the nature of the matter, some stages can proceed together. At each stage, the assessment our office will carry out and the steps expected from you are explained.

  1. Send your matter and the important dates

    Our office

Your request and contact preference are received; if you have applied before, it is linked to your earlier application.

    What we ask of you

Describe the events briefly. State the names of the parties, the legal support you expect and, if any, the notification or procedural date.

After preparing the summary in the preliminary application section, complete the submission by email or WhatsApp.

  2. Preliminary assessment and party check are carried out

    Our office

The relevant attorney assesses the known time limits, any possible conflict of interest and whether it is appropriate to take on the matter. Additional information is requested if needed.

    What we ask of you

Identify the opposing party and any connected individuals or companies. If you have a file being handled by another attorney, disclose that as well.

In first contact, do not send sensitive information unrelated to the matter or a large volume of files; let us decide together which documents are needed.

  3. The necessary meeting and review are planned

    Our office

The meeting method and a suitable time are set as needed. The scope of the meeting, its planned duration and the consultation fee are communicated before the appointment is confirmed. The day, time, method and language are confirmed by mutual agreement.

    What we ask of you

Tell us your preferred meeting language and time. Complete the preparation we have notified you of; ask any questions about the fee or scope before the meeting.

The day, time and method are confirmed by mutual agreement.

  4. The scope of services and fee terms are determined

    Our office

The matter being considered, the stages to be followed, the attorney’s fee, the payment plan and the foreseeable expenses are explained. Once agreement is reached on the scope of services, the fee and other terms, the Attorney Engagement and Fee Agreement is signed under our firm’s standard acceptance procedure.

    What we ask of you

Review which steps the proposal covers. Clarify whether later stages such as litigation, legal remedies or enforcement are within its scope.

The attorney’s fee is assessed separately from court fees, notary charges, translation costs and other third-party expenses.

  5. Required documents and starting conditions are completed

    Our office

The documents and authorization needed for the specific matter are identified. Any missing items, the agreed initial payment and the necessary advance on costs are communicated to you.

    What we ask of you

Send the requested documents through the specified channel and complete the agreed conditions. If you will not be able to resolve a deficiency in time, let us know immediately.

A power of attorney is not required for every consultation. Payment of the entire fee at the outset is requested only if that has been agreed.

  6. The accepted matter and the working arrangements are explained

    Our office

The scope of the service, the start-up status, the responsible attorney and the communication arrangements are communicated. The first steps and the important dates for the matter taken on are planned.

    What we ask of you

Keep the acceptance notice; follow the steps that fall to you. Pass on any new official notification or developments without delay through the agreed channel.

An agreement made for a meeting or limited consultation does not cover the handling of the entire file unless separately agreed.

SCOPE AND START

How will you know your matter has been taken on?

Under our firm’s standard acceptance procedure, the scope of the legal assistance taken on and the start-up status are explained in writing. If you are not sure who is handling which step, ask for direct confirmation.

  • The matter taken on and the steps that fall outside its scope
  • The responsible attorney and the communication method
  • The start-up status, the required documents and any missing items
  • The attorney’s fee, payment terms and necessary expenses

An automatic acknowledgment message, delivery of documents, confirmation of an appointment or a fee quotation does not by itself show that the handling of a file has been taken on.

If additional information is needed

You will be informed of what is missing. Provide it in the same correspondence, together with your application reference, if any. Send any new notification or time-limit information separately.

If the matter will be taken on

In line with the agreed scope and starting conditions, the acceptance notice and the first steps expected from you are shared.

If the matter cannot be taken on

You will be informed. Not taking on a matter does not mean that your request has no legal basis. In time-sensitive matters, act without delay to obtain other legal assistance.

STARTING DOCUMENTS SUITED TO YOUR MATTER

A READABLE AND SECURE DOCUMENT FLOW

Prepare your documents complete and in order.

Keep the complete document

Keep all pages of a document together with its attachments. Preserve originals bearing wet-ink signatures; prepare a legible copy for review.

Prepare a legible copy

Page edges, dates, signatures and stamps should be visible. A photograph should have no glare or blur; the text should be readable.

Organize your files

For example, name them in the form 2026-09-26_contract_01.pdf. Do not put an ID number, a password or unnecessary personal information in a file name.

Preserve the original record

Do not alter the originals of emails, messages, and audio and video recordings. Discuss first any redaction or masking to be done on the copy to be shared.

A screenshot may not show the whole document. Preserve the original PDF, electronically signed file or file obtained from UYAP; do not save a converted copy over a signed file. Create the viewing copy separately. For a password-protected file, let us first agree on the transfer method.

If a document is missing, start with what you have.

State the name of the document, the institution where it may be found and any difficulty in obtaining it. The method of obtaining it and the authority required are assessed according to the file. Also tell us about records that are unfavorable to you and the opposing party’s claims relating to the matter.

Completing Missing Information and Documents

For foreign documents, let us first clarify the procedure.

State the country, the language and the procedure for which the document will be used. Before you incur any expense, let us assess together whether translation, notarization, an apostille or a consular procedure is needed.

Document Procedures from Abroad

Access your official file information with your own account.

Act only within the scope of your own account and your access authority. Note the displayed file name and number; keep the full version of the papers you can access. Report any document you cannot see to our office. Do not share your password or verification code.

CONFIDENTIALITY AND COMMUNICATION

Share the necessary information through the appropriate channel.

Protection of application information

The information you share in the initial assessment is handled for the purposes of assessing the request, carrying out the party check and the related communication, in accordance with the principles of professional confidentiality and personal data protection. Once a matter is taken on, the processing purposes relating to performing the service also apply; access is limited by duty and necessity.

Even if a matter is not taken on, the information and documents you shared during the application are protected under these principles. When applying on behalf of someone else, first clarify your authority and whether the data sharing is necessary.

Do not send health, child and third-party records or copies of ID in bulk before the need has been determined. Do not share documents through publicly accessible links.

PREPARATION, APPLICATION AND MATTER ACCEPTANCE

Frequently asked questions.

Is my application submitted once I fill in the form?

No. The “Prepare Preliminary Application Summary” button creates a text from the information you entered. Review the summary and complete the submission separately in your email or WhatsApp application. Preparing the summary or opening a messaging application does not mean it has been delivered to our office.

What information is sufficient for a preliminary application?

Your name, contact details through which you can be reached, a short summary of the matter, the names of the opposing parties, if any, and the procedural dates you know are sufficient. You do not need to know the area of law or to have gathered all the documents. For information you do not know, you can tick the relevant option.

Can I send documents with my application?

This form has no file upload field. You can attach relevant and necessary documents to your email or WhatsApp message. Do not paste long documents into the summary field. For sensitive documents, agree on a suitable method with our office before sending.

When will I get a first response to my application?

The first response is for initial contact after your request reaches our office; it does not mean that a detailed legal review or matter acceptance has been completed. If you are not sure your request has arrived, ask our office for confirmation. In time-sensitive matters, contact us by phone without waiting for a reply.

Does a preliminary application mean free legal advice or a confirmed appointment?

A preliminary application is for assessing your request and establishing contact. It does not mean that free legal advice will be given, that the matter will be accepted or that an appointment is confirmed. The consultation fee is communicated before the appointment is confirmed. The scope of services and the fee for taking on the matter are agreed separately.

Can I apply on behalf of another person or a company?

Yes. State on whose behalf you are applying and your own contact details. An application does not mean that the authority of representation has been verified. Before sharing detailed information and documents belonging to others, talk to our office about your authority and whether the sharing is necessary.

Should I use this form for my existing file?

This page is for new legal requests. For information or contact updates about your ongoing file, use the Existing Client Contact page. If you know it, state your file reference and the name of the relevant attorney.

How can I correct or complete the information I sent?

If possible, send the correction in the same email or WhatsApp conversation, stating your earlier submission date and your name. Explain which information or document has changed. Changing or clearing the fields in the form does not alter messages already sent.

Can I apply from abroad or in a different language?

Communication is possible in Turkish, English, German and Russian. It helps if you state your country and city and the times that suit you. The meeting can be arranged at the office, or via Zoom, Microsoft Teams or WhatsApp. An international appointment time is confirmed by stating your city time and Türkiye time together.

Can I apply before all the documents are complete?

Yes. You can make first contact with a short summary of the matter, contact details through which you can be reached and the dates you know. Note any missing documents separately. In particular, if there is an upcoming procedural step or notification, do not wait to complete the documents.

Should I send a copy of my ID or passport before the first meeting?

You do not need to send these documents on your own initiative with every preliminary application. When identity or representation needs to be verified, which document will be requested, to what extent and through which channel will be communicated separately. Passwords and verification codes are never requested at any stage.

Is the original document needed, or is a scan enough?

For the initial review, in most cases we can begin with a legible copy. Whether the original document, a certified copy or a special format is needed is assessed separately for the procedure. Keep the original; do not destroy it or send it by courier without instructions.

What should I do first if an official notification or a rejection decision has arrived?

Keep the full text of the decision, its attachments and the notification records; state when and how it reached you. Clearly report the upcoming dates and contact us by phone. The time limit is calculated by examining the type of document and the conditions of the file; do not draw conclusions only from the date shown on a screen.

Should I have a foreign-language document translated or apostilled right away?

First explain the current state of the document and in which country and for which procedure it will be used. The need for translation, certification or an apostille is assessed according to the document, the country and the authority that will carry out the procedure. Do not incur expenses without instructions.

Should I share my UYAP or e-Devlet password?

No. Do not share passwords, electronic signature PINs, bank login details or one-time verification codes. Obtain the documents you can access from your own account. The authorization needed for an attorney to access the file is carried out through a separate procedure.

Can I prepare on behalf of a company or another person?

State on whose behalf you are applying and your own capacity. Whether a document of representation or authority is needed is reviewed separately. Before sharing information and documents belonging to others, assess your authority and whether the sharing is necessary.

Does ticking the checklist or sending documents start the matter?

No. The selections on this page are not sent to the office. First contact, a meeting or sharing documents does not by itself mean that the matter has been accepted. The scope of services, the fee, the necessary authorization and the taking on of the matter are agreed separately.

Does paying a meeting or consultation fee also cover the handling of my file?

Which legal service a payment relates to is stated in the proposal or the agreement. A payment made for a meeting, consultation or document review does not cover filing a lawsuit or handling the file unless separately agreed. The scope and fee of a matter taken on later are determined separately.

Are a power of attorney and full advance payment needed for every matter?

No. A power of attorney is requested, according to the nature of the procedure, for matters that require authority of representation. It may not be needed for consultation or review services. The initial payment and the advance on costs are determined under the agreement; payment of the entire fee in advance is requested only if that has been agreed.

What happens if a document or a payment is missing?

The effect of the deficiency on the matter or on a particular step will be explained to you. If there is a known time limit, speak to our office without delay. In a matter already taken on, a delay in payment does not mean that the engagement ends automatically; the existing duties and legal obligations are assessed separately.

Can I apply if another attorney is handling my file?

State the existing representation, the file number and the service you are requesting in first contact. The need for a second opinion, a limited review or a change of representation is assessed separately. Your application does not automatically end your current attorney’s engagement.

What should I do to complete my application or learn its status?

Contact us through the earlier correspondence, stating your name, your submission date and, if you have one, the application reference communicated to you. Explain the missing or changed information without creating a new application. If it is unclear whether your request arrived, or if you have not received a first response, ask our office for confirmation.

For an urgent step, should I wait for the standard stages to be completed?

No. Call +90 531 883 33 88 without waiting for a form response; state the notification and the last procedural date you know. Whether an urgent or limited engagement can be taken on is assessed separately. Keep in mind that a call or sending documents does not by itself mean that the step has been taken on.

NEXT STEP

Share your matter; let us clarify the scope of work together.

Start with a short summary of the events, the parties involved and the important dates. After the meeting and the necessary review, the matter to be taken on, the fee and the starting conditions are explained.

This is general information about the process; it does not replace the legal assessment to be made for your specific file.
