FOR OUR EXISTING CLIENTS

Notice of Time-Sensitive Documents

Send us your official notification, formal notice or any document that contains a deadline without delay, together with your file details and delivery records.

PRIORITY: THE DOCUMENT AND THE DEADLINE

Do not hold on to the document; confirm that it has reached us.

The deadline for a document is assessed according to its type, the method of notification and the applicable procedure. Instead of waiting for the last day based on your own calculation, share the document and its delivery details together.

The complete document

Send all pages and attachments. A single photo or a summary may not be enough to assess what the document contains.

Delivery and notification record

Keep the envelope, the delivery information or the electronic records. Also state when and how the document reached you.

Confirmation of receipt

Distinguish between sending the document and confirmation that it has been added to your file. If the deadline is near, also call us and confirm that it has been passed on to the responsible attorney.

SCOPE OF NOTIFICATION

Which documents should you report without delay?

Share documents linked to a matter or file that our firm is handling and that may require action. The fact that a document does not state a deadline expressly does not mean that it requires no legal assessment.

Judicial and enforcement documents

  • Official notifications from a court or an enforcement office (icra dairesi), statements of claim and payment orders.
  • Interim decisions, firm deadline notices, expert reports and hearing summons.
  • Reasoned judgments and notices relating to an appeal (istinaf) or an appeal to the Court of Cassation (temyiz).
  • Summons and documents from a public prosecutor’s office, law enforcement or a settlement unit.

Administrative and private-law notices

  • Official letters concerning taxes, administrative fines, licenses, permits or inspections.
  • Notarized formal notices and termination or payment notices under a contract.
  • Messages received through KEP that require action or a response.
  • Invitations to mediation and any other documents that may contain a deadline.

A COMPLETE NOTICE

Prepare this information together with the document.

File and contact details

  • Your first and last name; if you are notifying us on behalf of a company, the company name and your position and authority.
  • The name of the court, office or authority; if there is one, the file or matter reference.
  • If you know it, the name of the attorney handling your file.
  • A current telephone number and contact details at which you can be reached.
  • A short note explaining the subject of the document; any date or deadline written on it.

Document and delivery details

  • All pages of the document, its attachments and, if any, the front and back of the envelope.
  • The date it reached you; if known, the time and the method of delivery.
  • The person who received the document; if a neighborhood head (muhtar), an employee or another person accepted delivery, any delivery details you know.
  • For an electronic notification, the original document, the attachments and the existing delivery and evidence records.
  • If any part is missing, illegible or not in your possession, a clear statement of that.

MAIL · UETS · KEP

The method of notification varies; the need to preserve the records does not.

Postal or hand delivery

Keep the envelope and all attachments. State to whom, when and how the document was delivered, as far as you know. The effect of physical service is assessed on the basis of the procedural and delivery records.

UETS electronic notification

National Electronic Notification System (UETS) — for a document received through it, share the original file, the attachments and the evidence records. Do not settle for forwarding only the SMS or email alert.

KEP and other electronic notices

Registered Electronic Mail (KEP) — keep the entire message, its attachments and the existing sending and delivery records. The deadline rules of UETS, KEP and other institutional systems are assessed separately.

Explanation of UETS: PTT’s official electronic notification explanations (opens in a new tab). The deadline for tax e-notifications or other special notification systems is examined separately on the basis of the relevant regulation and the specific record.

Companies and clients abroad: Designate the authorized person who will monitor the account and physical documents, the person who will take over in that person’s absence, and the arrangement for passing documents to our firm. Also pass on without delay any relevant document that reaches your head office, other offices or employees. Do not postpone checking notifications because you are abroad.

FOUR STEPS TO THE RIGHT DELIVERY

How do you report a document?

If a document-sharing channel has been designated for your file, use it. If you do not know the channel, you can request guidance from the existing client contact page or call our firm.

  1. Prepare the document

Put together all pages, attachments and delivery records; clearly state any missing parts.

  2. Link it to your file

Add your name, the matter or file reference, the delivery date and a short explanation. Highlight a near deadline.

  3. Send it through the designated channel

Use the document-sharing channel designated by the attorney handling your file or by our firm. If you do not know the channel, ask for guidance.

  4. Confirm that it has arrived

Especially if the deadline is near, also get confirmation by telephone. If additional documents or instructions are requested, complete them without delay.

Information and Document Sharing Privacy Notice (opens in a new tab)

Firm telephone: +90 531 883 33 88 · Working hours: Monday – Friday, 09:00 - 18:00. Do not assume that a message sent outside working hours will be reviewed immediately.

SENDING AND LEGAL ACTION

That a document has been sent does not mean that action has been taken.

Confirmation of receipt

Sending a message, technical delivery information or an automatic receipt record does not mean that the document has been reviewed from a legal standpoint or that the necessary filing has been made. Get the complete document to the right file and obtain confirmation from the responsible team.

Deadline and action to be taken

Which action will be taken, which deadline applies and the scope of work are determined according to your file. Notifying our firm does not replace a filing with the court or the authority; it does not stop or extend the deadline.

PRACTICAL ANSWERS

Frequently asked questions about notice of time-sensitive documents

What should I do if I do not know whether a document is time-sensitive?

Send the document and its delivery details to the attorney handling your file. That a document does not state a deadline does not mean that it requires no action.

Can I report a document if I do not know the file number?

Yes. State your name, the name of the authority or court and the subject of the document. Do not delay your notice because the reference is missing.

Is an SMS or a screenshot enough on its own?

An SMS is often only an alert. Also share the original document, all attachments and the existing delivery and evidence records. A screenshot may be missing content or a date.

I have sent the document; do I still need to call?

If the deadline is near, if the document requires urgent action or if you have not received confirmation that it arrived, also reach us by telephone. Confirm that it has been passed on to the responsible attorney.

Should I still report a document if I think the deadline has passed?

Yes. Share the document and the delivery records without delay. The deadline and the possible legal remedies are examined specifically for the file; you should not assume that a late notice will be remedied.

Should we also send documents received by a company employee?

Send documents linked to a matter we are handling, with the recipient’s details and the known delivery date. The legal effect of the service is assessed separately on the basis of the relevant procedure and records.

Is a document I send outside working hours considered reviewed?

No. Technical sending or an automatic record is not confirmation of legal review. If the deadline is near, do not just send a message and wait; follow up to confirm receipt and that it has been passed to the responsible team.

Does this page start deadline tracking for a new file?

The acceptance and scope of a new matter are determined separately. Reporting a document does not in itself create a commitment to represent you or to track deadlines. Explain the link to your existing file and the action you would like taken.

NEXT STEP

Prepare your document; confirm the right channel.

When the complete document, the delivery information and the file reference are reported together, the information needed to route the document to the relevant matter and to assess it legally is in one place.
