02 · Candidate Profile and Working Approach

Which candidates do we prefer for administrative and operational roles?

In a law firm, administrative work calls for particular care in recording time-limited documents, client communication, file order and the follow-up of daily operations. The qualities below are assessed according to the requirements of the role applied for; foreign languages and specific software experience are not mandatory for every role.

  • Awareness of Documents, Deadlines and Schedules

Candidates who correctly record incoming and outgoing documents, service of process and time-limited papers; pass information on to the responsible lawyer or unit without delay; and keep track of appointments and operational work.

  • Confidentiality, Professional Secrecy and Data Security

Candidates who keep client information, file contents, financial records and internal correspondence in line with the rules of confidentiality, professional secrecy and personal data protection.

  • Professional Communication and Office Language

Candidates who communicate calmly, respectfully and clearly on the telephone, at reception and in correspondence, and who pass information to the right person, with the right content and on time.

  • Following Written Procedures and Filing Order

Candidates who can adapt to internal job descriptions, the Institutional Office Handbook, physical and digital filing standards and task-tracking systems.

  • Taking Ownership and Seeing Tasks Through

Candidates who do not stop at passing a task on; who check that it has been completed, report the risk of delays and problems in time and record the outcome.

  • Role-Specific Experience, Digital Skills and Languages

Depending on the role, experience in a law firm or corporate office, familiarity with procedures at public authorities, knowledge of office and bookkeeping software, or communication skills in English, German or Russian.

The limits of our working culture

Our Red Lines: Who Do We Not Want to Work With?

This section is not a wish list. We state clearly the conduct we will not accept in daily operations, in client communication and in team relations. Experience and technical skill do not make up for a lack of responsibility.

We do not want to work with people who feel no belonging to their office, who do not take ownership of the work they take on, and who do not care about the client’s rights or their colleagues’ efforts.

  • No sense of belonging to the office and indifference to shared effort

We do not want to work with people who see the law firm they work for only as the place where they are paid; who do not take ownership of the firm’s order, reputation, workflow and their colleagues’ efforts; and who say “not my problem” when something goes wrong.

  • Disregarding the client’s rights and the outcome of the work

There is no place for the indifference of treating a document, meeting request or important notice the client is waiting for as unimportant, or of failing to pass on immediately to the responsible lawyer a delay that could lead to a loss of rights.

  • Neglecting documents, service of process and task follow-up

We do not accept a way of working that fails to record time-limited documents, does not deliver them to the right person on time, considers responsibility ended by saying “I passed it on” and does not check that the work has been completed.

  • Treating written records and reporting as a chore

People who do not record the work they do, who disrupt the filing and document system according to personal habit, who wait to be informed or who leave the follow-up of work to others do not fit the way our firm works.

  • Taking confidentiality lightly, concealing mistakes and delays

Sharing client and employee information without authorisation, hiding an incomplete step, failing to report a delay or blaming a mistake on someone else is incompatible with a relationship of trust. Problems must be reported to the person in charge without delay.

  • Arrogance, big egos and toxic communication

We do not want to work with people who belittle colleagues or support staff, shout, behave passive-aggressively, create gossip and division or disturb the peace of the team. Respect applies to everyone, whatever their role or seniority.

Belonging is not blind loyalty or unquestioning obedience. It means standing up for the office one works in, one’s colleagues, the work one has taken on and the client’s legitimate rights, while respecting the law and professional boundaries. Reporting a mistake or a risk, expressing a reasoned disagreement and offering constructive criticism are not regarded as toxic behaviour.

04 · Evaluation

How does the process continue after you apply?

Applications are assessed in light of the requirements of the role, the candidate’s experience and skills, the preferred role, current open positions and the firm’s current needs. Not every application automatically leads to an interview invitation.

  1. 01 · Preliminary Review

    Review of information and résumé

Your preferred role, experience, skills, employment status and résumé are assessed together with the scope of the application.

  2. 02 · Interview and Fit for the Role

Getting to know each other and the scope of work

An interview on the job description, working arrangements, responsibilities and expectations is arranged with suitable candidates. For positions where it is considered necessary, a short exercise whose scope is explained in advance may take place.

  3. 03 · Decision and Onboarding

    Offer and institutional orientation

If the process is completed positively, the scope of the role, working conditions and start plan are shared with the candidate, and onboarding begins.

If a candidate is asked for a sample task, its purpose, scope, duration and assessment method are explained in advance. The work is not used as unpaid production for the firm or for client matters.

05 · Frequently Asked Questions

What to know before applying

The application form and an active vacancy are not the same thing. You can apply even if there is no current position; the assessment is made in light of the requirements of the role and current needs.

Can I apply if there is no open position?

Yes. This page is a general application area. Your application is assessed in light of current needs or needs that may arise in the future; however, it does not create a commitment to an interview or to employment.

Can I choose more than one area of work?

Yes. If your experience and interests suit more than one area, you can select them and state your priority area in your application note.

Which documents should I send with my first application?

An up-to-date CV is sufficient. Certificates directly related to the role may optionally be added. Identity, criminal record, health or bank details should not be sent with the first application.

How can I update or withdraw my application?

You can send your request for changes or withdrawal through the Application Support page. Please state the e-mail address you used in your application so that your request can be matched.

Unsure about your area of application?

You can use career application support to choose the right type of application, to update your application or to withdraw it.
