What can you write to us about?

You can tell us about your experience with responsiveness and communication, file follow-up, explanations of fees and expenses, document sharing, communication with the team, or the use of the website. Stating whether you expect an explanation, a correction or a process improvement makes the review easier.

PREPARING YOUR APPLICATION

It is enough to explain the matter clearly.

You do not need to prepare a detailed petition. You can share the following information in your first message.

  • Your name and contact details: An email address or telephone number through which we can reach you reliably.
  • File or application details: If any, the file number, the date of the earlier application or the reference you were given.
  • A short summary of what happened: What happened, the relevant date and, if possible, the time; the channel and a summary of any earlier conversation.
  • What you expect: The point you would like explained, corrected or assessed.
  • Relevant records: Only documents or correspondence that help explain the matter.

FROM REVIEW TO OUTCOME

How is your application assessed?

Receipt of the application, review of the matter, explanation of the outcome and, where necessary, reconsideration are successive stages.

  1. Receipt of the application and first response

Our client relations assistant receives your application and refers it to the responsible person. A first response is given within 48 hours at the latest. If necessary, additional information is requested to clarify the matter.

  2. Review of records and explanations

Related correspondence, transaction records, any agreement and the parties’ explanations are assessed together. A complaint about a particular person is not concluded solely by that person’s own assessment; it is handled by the firm’s management or another person it designates.

  3. Outcome and explanation of the next step

The outcome of the assessment and any correction to be made are explained to you. If the review cannot be completed with the first response, the time of the next update is stated; if that time changes, you are informed.

  4. Follow-up and reconsideration

You may ask for reconsideration by sharing the point you think remains unclear in the response, your reasons and any new information or documents. Continue on the same correspondence by stating the date of your earlier application or the reference you were given.

How do you find out the status of your application?

You can reply to the email correspondence, or call our main line, stating the date of your application, to ask for the status. If you sent the same matter through different channels, mention your earlier message.

If you have not received a response within 48 hours

Confirm through our main line that your message and contact details have arrived. A sent or read indicator does not show that the review has been completed.

FREQUENTLY ASKED QUESTIONS

What you may wonder before applying

Choose the channel that suits you; share directly the point you would like clarified.

Can I submit only a complaint?

No. You can also send suggestions, expressions of satisfaction, thanks and your views on improving our service processes through the same channels.

Will I get a definite result within 48 hours?

48 hours is the time for a first response, counted from when your application reaches us. The conclusion of the review depends on the nature of the matter and the records or explanations required. If the review continues, you are told the time of the next update.

Can I ask for an explanation of fees or expenses?

Yes. State the file concerned, the date of the transaction or payment, and the point you would like explained. Your application is assessed on the basis of the relevant records and, if any, the agreement.

Is my complaint sent only to the employee concerned?

No. Our client relations assistant receives the application and refers it to the responsible person. A complaint about a particular person is not left to that person’s assessment alone. The firm’s management or another person it designates conducts the review; an explanation may be requested from the person concerned.

Can I submit a notification without sharing my name?

For notifications that contain no identity or contact details, the investigation of the matter and our ability to respond to you may be limited. File information belonging to other persons is not shared without verification of identity and authority.

Can I write on behalf of another person or a company?

Yes. State on whose behalf you are applying and your relationship with that person or organization. Before any file information is shared, verification of identity and authority of representation may be required separately.

What can I do if I find the response insufficient?

You can ask for reconsideration by stating the points you think remain unclear and your reasons. Add any new information and documents, and state the date of your application or the reference you were given.

How do I apply if I have difficulty with a written account?

You can call our main line to explain the matter verbally and ask for support so that your application is understood correctly. State your communication or accessibility needs and your preferred method of reply.

I received a suspicious payment request in the name of your firm. What should I do?

Confirm the request through our main line before making any payment or sharing any information. Do not use the number or link in the suspicious message for verification. Review the Fraud and Fake Communication Warning page.
